Event Management Plan
The purpose of the event management plan is to limit and/or mitigate the impact of additional vehicle traffic and parking on campus due to event parking. The goal is to provide the event patron with convenient and effective access while limiting the impact the event traffic will have on campus parking. Parking and Transportation is self sufficient in its operations and requires all users to pay to maintain the facilities and operations.
Event parking management will be directed by:
- Available parking spaces
- Expected attendance
- Costs that may be incurred by department sponsoring event
- Expected/potential impact on regular users of the area
- Logistical ability of Parking and Transportation Services to manage event
- Whether the event is University or non-University sponsored
Notification
All events on campus requiring parking for attendees should contact Parking Services. Event management may be as easy as issuing a few visitor permits or as complex as multi-agency involvement requiring closing lots, hiring event staffing and developing/implanting multiple transit/vehicle flow plans. Requests for event parking MUST be submitted a minimum of 2 weeks before the event. Late requests may incur additional costs and Parking and Transportation Services may be unable to meet the request for services. Final approval for all event parking on campus is the responsibility of Parking and Transportation Services. Cancellation or change of events must be made within 48 hours or full cost will be applied.
Services offered and Rates
Visitor permit--Complimentary
Twelve free permits may be obtained each year. Individuals
needing additional visitor parking may contact Parking for other permit options.
Visitor permits are valid only in Gold/Red/Blue
lots unless specifically authorized by Parking and Transportation Services. Use

Event Parking Equipment
Rental
Organizers can choose to rent equipment such as safety vests, traffic cones and directional signage to help facilitate their event. However, Parking and Transportation Services will be responsible for managing all campus parking and parking staffing. All equipment must be returned in the same condition as when rented or a full replacement cost of the item will be charged to the event budget departments will be asked to supply in advance. Lot/Space Rental
Individual spaces or lots may be rented for a University sponsored event. Parking and Transportation Services will review the event request and determine the most appropriate action to meet the events needs based on Parking and Transportation Services’ ability to manage and distribute parking resources. During academic breaks, evenings and weekends most lots are available for rental. However, events scheduled while the University is in session or during business hours will have a more limited parking supply available. Event Parking Attendants
Event Parking Attendants are paid an hourly rate and may be hired for a two-hour minimum per event. All Parking Attendants will be trained in basic event parking and all Senior Parking Attendants will serve as certified flaggers. Only certified flaggers are allowed to direct traffic in public road ways. Parking Attendants:
- Design and implement traffic control plans for events
- Control access to certain lots or streets for authorized users
- Provide customer-friendly information to the parking public
Vandal Trolley
Rental
Parking and Transportation Services has a 32 passenger Trolley available for rent..
A two-hour minimum rental is required.
The trolley may be used only for University sponsored events.
- The vehicle is outfitted with a hydraulic wheel chair lift, a public address system and handrails
- The trolley driver must pass all University requirements for use of a Commercial Drivers License, which includes random drug tests
Event Parking and
Transportation Planning
Parking Services is a one-stop-shop for all transportation and parking planning needs for University events, on and off campus. Currently, most planning hours provided by Parking and Transportation Services are not billed, such as:
- Plans for directional and parking signage
- Coordination of transportation routes and, if needed, contracting transportation services with other transportation groups.
- Providing event parking and transportation maps and informational publications (soon to include list on Parking Web site)
